Introduction

This document sets out the classification of constituent types, relationship and employee types, organisation industries and employment job categories within DARS.


Constituents

There are three different types of constituent in DARS and the tabs available within a constituent record depend on the type selected. An internal business rule limits gifts to individuals and organisations only, although you can still view the collective giving of group members.

Note that it is not necessary to create groups for recording memberships of student clubs and societies, as these are held instead as Educational Involvements.


Relationships

Relationship types describe the relationship between two constituents. These vary depending on the constituent types being related. Each relationship type has a matching reciprocal type.


There are two instances where ‘Relationships’ should not be added:

  1. For a relationship between two organisations (except to record the charitable arm of a parent organisation), as the Corporate Structure should instead be used for this. See McKinsey & Co for an example of Corporate Structure in use.
  2. For a relationship between an individual/organisation and a group (except to record the direct link between an entity that is both an organisation and group), as Group memberships should instead be used for this. See Clarendon Arch for an example of Group Members.

An organisation’s corporate summaries include employee information as well as general data and giving history. However, only specific relationship types qualify as ‘employees’ (highlighted below).


‘Do Not Merge’ and ‘Must Not Merge’ relationships are added only for preventing two unrelated (or intentionally duplicated) constituents from being incorrectly merged together during a migration process, where they might otherwise be because of similar names and other data, e.g. two branches of the same organisation, two John Smiths who studied at the same College, or two intentionally separate Site Secure records for the same constituent.

Industries

Industry defines the sector of business in which an organisation is classified. It therefore indirectly defines the sector(s) in which an individual is/has been employed, via their related employer(s).

Organisations with a constituency of Trust/Foundation should not be classified with a standard business sector, except indirectly via their Parent Organisation; instead they should be classified according to the specific nature of their trust/foundation (highlighted below).

Job Categories

Using DARS you can track the employment history for individuals within organisations, including their current and previous job titles and their job categories. Job Title is the individual’s position within the organisation, and it is stored as a free-text field. Job Category is the individual’s profession within the organisation (also known as their occupation).
