DARS Naming Conventions for Items Created in DARS

This article will be updated on a regular basis. Updates may be required in response to updates to DARS or changes to business processes or errors.

Introduction

This document defines the Naming Convention which we encourage all users and Participants in DARS to use when creating new items such as Queries, Exports, Events, KPIs, etc.

There are many benefits for using a standard naming convention, including making it possible for all users to identify the owner of an item (both the individual and team they belong to) and assisting when sorting or searching for items. For example, entering %MAGD in the Query Name filter will find all queries created by Magdalen College.

Using the Convention

Full naming convention (for queries, exports, export definitions):

[SITE CODE]-[AREA CODE]-[3 INITIALS]-[Short Description]


Short naming convention (for KPIs, Event records, Constituent Groups, Appeal categories, System notifications):

[SITE CODE]-[Short Description]


Key points to remember:

  • The codes to use are shown in the following tables.
  • Codes and initials should be entered in UPPERCASE and the description in Title Case.
    For example: ‘DREL-COMM-ABC-Phone call to discuss CCB membership’
  • Each user should create their own 3 INITIAL code (from first, middle and last names where it is possible to do so, and adding a middle ‘Z’ if necessary), and use this consistently thereafter
  • Enter codes and initials with no spaces, and use short dashes to separate these
  • Add the initials of the staff member most associated with the item or its content – e.g. for an interaction, use the initials of the staff member who took part in or led the interaction
  • Please also use the naming convention in the following key System areas, abridged or as full as possible:
  • Interactions – in the Summary field
  • Documentation (notes, attachments or media links) – in the Title field; this also applies when adding e.g. Contact Reports as an attachment or note into interaction documentation
  • Prospect Plans – in the Name field
  • Queries, Exports, Research Groups – in the Name field
  • Events, Appeals, Marketing Efforts, Packages, Correspondence – in the Name field
