Interested Party Qualification Rules for DARS

Introduction

These rules set out the circumstances in which an entity qualifies as an Interested Party (IP) to a constituent and may therefore have its Site added automatically overnight to the Security tab of that constituent's record, via a System Administrator process (AUTO). A necessary pre-condition is that the relevant information to determine such qualification is present on the constituent’s record.


For the purposes of Interested Party eligibility, Central University is here defined to include those parts of the University other than the Colleges and Permanent Private Halls; in no way does it refer to peripherality. It includes each of the central administrative units and the international offices; the divisions and faculties, departments and schools; and University-staffed recognised alumni societies.

That the entity is the constituent's Relationship Manager (RM)
  • Constituent has that College assigned as the RM

Any college

  • Constituent does not have a college assigned as the RM

Central University

For colleges only, that the individual has attended as a student at that college
  • Constituent has an education record for that College

Any college

For colleges only, that the individual is a parent/guardian of an individual who has attended as a student at that college
  • Constituent has an individual relationship record, of Parent/Guardian to Child, to a constituent with an Education record to that College

For colleges only, that the individual has been resident at that college
  • Constituent has an organisation relationship record, of Resident to Residence, to that College

That the constituent was employed by the entity
  • Constituent has an organisation relationship record, of an ‘Is employee relationship’ type, to that College or a part of the Central University

That the constituent has made either a donation or a pledge, recurring gift, legacy/planned gift or matching gift claim (excluding those that have been written off before any payment has been made) of any amount to the entity at any stage
  • Constituent has a donation of any amount to that Site

Any college or Central University, with both qualifying for ‘transfer’ gifts to colleges that are received via the University, Americans For Oxford (AFO) or UO Hong Kong Office

  • Constituent has a pledge, recurring gift or matching gift claim of any amount to that Site, excluding those that have been written off before any payment had been made
  • Constituent has a legacy/planned gift of any amount (including an unspecified amount) to that Site, excluding those that have been rejected or withdrawn before any payment had been made

That the constituent has registered for or attended an event (in their own right or as another constituent’s guest) that was organised by the entity
  • Constituent has an accepted or attended event registration, where that College or a part of the Central University is the Site for the Event

That the constituent has had a formal meeting with a staff representative of the entity
  • Constituent has an interaction or prospect plan step with a contact method of Formal Meeting and a status of completed, where that College or a part of the Central University is the Site for that interaction or prospect plan step

For Central University only, that the constituent is a current or former member of Vincent’s Club or Atalanta's Club
  • Constituent has a ‘Vincent's Club’ educational involvement

That the constituent is a current or former Volunteer for that entity
  • Constituent has a volunteer type with the 4-digit Site prefix of that College or a part of the Central University

That the constituent is a current or former member of an official Friends (paid membership) group for that entity

That the individual’s spouse or partner has that Site as an Interested Party
  • Constituent has an individual relationship record, of an ‘Is spouse relationship’ type, to a constituent for which the Site is an Interested Party

In all other instances, only a user within the Assigned Security Group (Relationship Manager, or RM) to that constituent is permitted to add the requestor Site to a constituent's record as an Interested Party, and this is at the sole discretion of the RM
A constituent documentation note of type ‘Relationship Management Status’ must be added to the constituent’s record to verify this change, or it may be reversed overnight, and any request must be based upon reasonable evidence of an existing relationship of that Site to the constituent
  • No automatic System Administrator process – reasonable evidence of an existing relationship between the constituent and the Site, at the sole discretion of the RM
