This page is separated into sections to correspond with the different types of data that you might interrogate when using the database. This is an initial prototype that will be developed further over the coming weeks and months.
This Glossary has been designed to compliment the things you learned on your Fundamentals 2 training course, not to replace the need for training.

How to use this Glossary
This Glossary has been broken down into sections themed on the type of information that you wish to query.
Each section will have 3 sections:
- A description of the section
- Hints & Tips when querying on this type of information
- List of useful query nodes
Within each section you will find tables that contain the 'day to day' term for data, a comment in regard to its use and where in the Query Builder you need to look for these fields.
The nodes will be formatted as a pathway for you to follow in the Query builder, using the '>' symbol as an instruction to move down one level in the tables i.e

Over time, we will expand this page to have links to various DARS training and policy documents, images and video tutorials.
Here are some key terms and definitions that we use when building queries in DARS:
|Information Library||The Information Library offers features to help organise and navigate your queries.|
|Query||A way of asking DARS to provide us with information of our choice. This can be about people, donations, events... Anything!|
|Selection||A way of taking a snapshot of the results from a query, usually to populate another process in DARS... Like a guest list for an event for instance.|
|Table||A table is simply how a database broadly organises the data. For instance by address, by education, by revenue so on and so forth...|
|Field||A field is simply how a database organises each piece of information in to a table. Within an Address table the fields might be; city, postcode, country, etc.|
|Field Explorer||The column on the far left of the Query Builder screen. Essentially this is a list of all the tables in that database that you can query on.|
|Fields||The column on the middle of the Query Builder screen. A list of all the fields within each table. These fields change as you move to different tables in the Field Explorer.|
|Filters||The box in the top right of the Query Builder screen. Filters are the Fields (pieces of information) you have chosen to define what/who your query is looking for in the database. Create filters by simply dragging and dropping fields into the filters area.|
|Outputs||Don't confuse these with filters. Once the filters have done their job and narrowed your results down to suit your needs the Outputs do their bit. The outputs are what information you would like to know about your filtered list of people. Capiche?|
|Favourites||To mark a query as a favourite, click the star next to the query|
These query nodes will help you to determine which areas of the University have a relationship with any individual, organisation or group.
Hints & Tips
- Always consider using these nodes as outputs, they'll inform you of who else is in contact with this individual or organisation.
- If considering an approach ALWAYS follow the Clearance process
- In most cases, the undergraduate college will be the Relationship Manager for alumni.
- In most cases, the Central University will be the Relationship Manager for non-alumni.

- Keep a constituent record open in a separate window and use this as a guide to find data
- If you're adding a count on to an output, you must ensure that you have selected 'Constituent Record' as an output
- Bear in mind that certain nodes will give you one-to-one results, others will give you one-to-many results.
- Always use Lookup ID as an output, this will help you distinguish people with similar details

- If you wish to query on the actual Employer, simply set the filters to look at the company.
- Be careful of duplicate Organisation records
- Use the Contact (Primary) tables to query on individuals who work at an organisation.

When managing events it can be useful to find out more information about your invitees and/or guests. This section looks at the most commonly used events fields.

- Use the Events source view when creating a new query
- Don't try and write one query that does it all. Consider writing smaller queries that break the event down into chunks i.e 1 query at the stage of invitation, another query for registrants, another query for special requirements etc.

One of the key features of DARS is it's ability to generate prospect lists based on queries. In this section are some of the most commonly used or helpful pieces of data in relation to prospecting and gifts that are being cultivated.

Querying on Revenue can be a daunting task because we record so much information about each transaction, such as whether it's a gift, event registration payment, membership fee etc.
This section refers to queries using a Revenue Source view. If using a Constituent Source view, simply go to the Revenue table in the Field explorer first, then follow the Node paths.
Hints & Tips
- Think about what source view to use. If you want a list of gifts by an individual, use a Constituent Source view. If you want a list of gifts by Designation/Campaign then use a Revenue Source view.
- If you need sums or counts, consider using a smart field instead.
- If you're querying for the Central University, use Designations to view funds.
- If you're querying for the Colleges, use Campaigns to view funds.

- Every week DARS is updated with information from the Oxford Student System (OSS) meaning education information for Oxford alumni since 2000 should be up-to-date and accurate
- If an individual has studied elsewhere other than Oxford, this will only be in DARS if it has been disclosed by the constituent
- Search on the Education (Primary) nodes to filter first courses studied from the subsequent records in Education History nodes

In this section we will look at the nodes that are helpful filters and outputs when interested in Communications and Interactions.
Bear in mind that using these nodes IS NOT a replacement for using a Suppression. Suppressions are much more comprehensive for filtering your results.

- If site security has been applied to an interaction, it will be filtered from the results meaning that querying is not a loophole around constituent security
- Using system fields can be helpful to identify who uploaded documents on to DARS
- Interactions are for one-to-one points of contact between the University and a constituent. Communications are bulk correspondences.

System Fields are bit of information that DARS records about who is creating and modifying data. This is useful if one needs to identify the source when a constituent's record is updated.
Hints & Tips
- System Field are always displayed in the Fields (middle column) of the Query Builder screen no matter where in the Field Explorer (left hand column) you have clicked. Just look under the 'System Fields' heading for the following nodes:

Before you create a new query, check to see if there is a Template Query that might do some of the legwork for you.
Hints & Tips
- Template Queries can be found by using the Category filter in the Query area of DARS
- Remember to use the COPY option when modifying a query - You don't want to save over the template!
- When saving templates for your own use, change the Category to none on the save dialog screen
- When renaming template queries, remember to follow the Naming Convention

If you are writing a query with the intention of using your results as a contact list (be it for an event, a communication, a mailing list etc) it is ESSENTIAL that you suppress your results to ensure that you have excluded deceased, inactive, blank records as well as excluding people who've told us that they don't wish to be contacted.
Hints & Tips
- System Suppressions will weed out any deceased, inactive, skeletal records etc as well as removing records where little or no information has been recorded.
- Mail Preference Suppressions will weed out any records where individuals/organisations have requested to 'opt out' of receiving a particular regular mass communication, e.g. a College newsletter.
- OXUN Suppressions are for use by Central University / COLL Suppressions are for the Colleges
- Each suppression will have a site, a purpose and a channel or medium i.e St John's College, for fundraising by email.
- The Suppressions are set up for you and will always follow the Naming Convention.

Smart Fields are fields that you can use as filters or outputs that are pre-calculated, this means that you don't have wait around whilst the database does all of the number crunching if you want to find out things like:
- Someone's total giving
- Total number of events someone has attended
- Total cash raised for a particular fund
To create Smart Fields you will need to be a Local Site Administrator (this is usually your Super User).

Other Query Node Changes in V3
- All nodes in the Revenue Application Source View have been moved to Financial Transaction Line Item (except for the custom GL queries).
- Revenue > Other Method has moved to Revenue>Other Method (this may not look like a change but all the Queries/Selections that use this node in v2.9 should remove the original node and add the new node before running the Query/Selection (Used in a lot of R68 Selections).
- Use Constituents>Social Media Accounts instead of Constituents>Media>type
- Constituent>Community Member nodes have moved to Constituent>Online Information
- Educational Institution no longer a drop-down list in SP4 it is now a search list.
